Regular faculty and academic professionals have the option of being paid over 9 or 12 months once they have completed their first year of employment. If an employee chooses to change their election for the upcoming academic year, then they will need to complete the Pay Option Change form and email or fax it to OFA HR no later than April 30th.
The university operates on a bi-weekly pay period for all employees which begins on Monday and ends on the second Sunday. The pay day for each bi-weekly pay period occurs the Friday following the end of the pay period. Specific dates for each pay period can be found by viewing the Payroll Calendars online.
Units that want to provide employees with compensation in addition to their base salary will need to work with the College Business Services team (CBS) in advance to obtain process information and approvals. Additional compensation provided for an employee’s appointment letter will automatically be processed by the CBS and units will not need to contact the CBS to initiate payments. Units can submit an HR: General Request form to work with the CBS in requesting the additional pay.
The College Business Services (CBS) HR team members are responsible for ensuring that each bi-weekly payroll is accurate. Employees should contact an CBS HR team member if they feel their pay is inaccurate through the College’s eForm system using the HR: Payroll Request form.
Faculty on academic year appointments who will be receiving summer pay for non-teaching activities will need to submit a HR: Faculty Summer Pay Allocation form to ensure their summer pay is received. Requests should be submitted by early April to avoid any delays in payment.
Forms may require approvals dependent on the funding source. Salaries that will be paid for by the School’s/Center’s state or local account will require Director approval. Salaries that will be paid for by a sponsored account will require PI approval. Salaries paid for by a faculty member’s own funds (foundation, IIA, etc.) do not require additional approvals.
The maximum summer salary for faculty is 3/9ths of their academic year base salary. The base salary for the academic year preceding summer will be used when calculating summer salary. Summer salaries can be paid over the 3 months of summer. The maximum payment for each pay period should be no more than ½ month’s salary.
Wages paid to a student employee through the payroll system are subject to federal income tax, state income tax, and FICA (Social Security and Medicare) withholdings. Federal and state taxes are dependent on the student's gross income and how the student files their W-4 and A-4 forms. The number of credit hours a student is enrolled for at the end of the drop/add period determines whether or not FICA tax is withheld. Employees can view their most recent and past paychecks online through MyASU. In MyASU, go to the Employee Info tab > My Employment > Payroll > View Paycheck.
