Office of Public Affairs Special Event Registration:

When planning events on any of ASU's campuses, please be sure to always register your events.

Please note that this registration does not replace reservation requests with rooms, and it does not serve as an approval for any permits that may be required for your event. This form is being required by the Fire Marshal office for all events on any campus. Once registered the event is sent to the appropriate university personnel. If you have questions, comments or concerns, submit an e-mail here.

Taylor Mall Tabling Space:

Complete the Taylor Mall Space Use Request Form at least 10 business days before the requested tabling day. https://cronkite.asu.edu/taylor-mall-reservations

UCENT Classrooms:

  • Contact your department’s ASTRA scheduler to hold space. This is often an executive assistant or someone who deals with classroom scheduling.
  • 48 hours’ notice is required.
  • Food is usually not permitted
  • Classes take precedence over events

UCENT Lobby Spaces 

UCENT Conference Rooms:

  • *Before booking a conference room on another floor or department, check with that department first to be sure the room is open for scheduling.*
  • Open a Microsoft Outlook Calendar Appointment.
  • Select ‘Scheduling Assistant’ View
  • At the bottom left, select “Add Rooms”
  • Search by “d.room.ucent” you will see all UCENT conference rooms. 
  • Select the room you want, click ‘ok’.  You can see availability in that scheduling assistant view.
  • You’ll get a confirmation or decline email based on availability.

Westward Ho Building:

  • Inside the newly renovated historic building, there are both a multipurpose room and executive conference room that will soon be available to reserve for events that relate to university activities

  • You may use any caterers that are on ASU's Approved Vendor list.

Cronkite Building Classrooms, Theater or First Amendment Forum:

BEUS Center for Law and Society:

Health North (HLTHN) Classrooms, Conference Rooms or Auditorium:

  • Contact your department’s ASTRA scheduler to reserve University Classrooms or the Auditorium
  • To schedule conference rooms, contact healthrooms@asu.edu - 48 hours’ notice is required.
  • Food or drink is usually not permitted with the exception of the auditorium.  There is a catering fee assessed by ASU Classrooms. 
  • If you would like to have food or drink for your event it may be brought in by you, or catered by an Approved Vendor.
  • Classes take precedence over events.

AEEB Auditorium:

  • Contact your department’s ASTRA scheduler to reserve space
  • Classes take precedence over events
  • You may use any caterers that are on ASU's Approved Vendor list.
  • a $50 catering fee will be assessed if you serve food or beverages.  This fee does NOT include any sanitation services.  You will need to make arrangements for trash removal and clean up if you serve food.
  • This building is controlled by the City of Phoenix.  After booking in ASTRA, the city has to approve reservations.
  • This space is highly sought after and hard to book.  Don’t delay in reserving space if you want it.
  • ASU Groups will be charged an hourly staffing fee for events held on Friday after 5 p.m., and for all events held all day on Saturday or Sunday.  Hourly fee is payable directly to the City of Phoenix.
  • Non-ASU Groups will be charged to reserve this space.

Post Office / Student Center:

  • Student Engagement charges for this space.  You will receive a bill post-event.
  • ASU entities are not allowed to book this space on behalf of non-ASU groups because the building was intended to be used for student life activities only.
  • Aramark is the exclusive caterer for this building.

  • There is a fee for catering assessed by ASU Classrooms for only select rooms (Mercado C 135, 145, 146).  Food and drink are prohibited in all other Mercado rooms.
  • You may use any caterers that are on ASU's Approved Vendor list.
  • The Mercado rooms currently available for catering / special event public rental are as follows:
    • Mercado C 135 - 40 ppl in classroom style
    • Mercado C 145 - 108 ppl in conference/banquet style
    • Mercado C 146 - 35 ppl in classroom style
